UW CORAL Web Front End - Documentation - Billing

Statistics

Two different types of statistics are provided, to satisfy the needs of academic free-for-students versus revenue-based reporting.

Revenue Breakdowns

The Breakdown tabs provide breakdowns of the revenue reported by the Billing>Full tab by many different criteria. The Eq Breakdown tab is oriented toward specific equipment and does not show charges that are not related to equipment. The Loc Breakdown tab similarly does not report charges unrelated to activity that occurs in a given location. The User Breakdown tab shows all charges but makes no attempt to classify them by equipment or location.

The default setting of the table shows equipment hours, staff hours, and revenue broken down by year, month and department (with non-UW entities listed as "(Non-UW)"). Distinct values are shown for every column whose checkbox is checked; columns whose checkbox is not checked display the number of distinct values, taken from rows that match the columns which are checked. Columns that have no checkbox at all are reported as totals of the matching records.

In the exmaple shown, the first line indicates that 12 different members (usually students) from 8 different PIs in 3 different departments in the School of Medicine were active in the lab for 11 months (not "November") out of the selected twelve; they used 21 different instruments for projects in 5 different disciplines, charged to 9 accounts on 12 projects. Taken together, they used 93.69 equipment hours, no staff assistance, and were charged $9,014.92.

Keep in mind that the response time depends on how many records are within the selected time period. If your web browser is unable to sort and tally the records at the desired speed, try using a smaller time interval.

Free Student Use Reporting

Some facilities use UW CORAL to track student use of labs and shops without charging on a per-use basis, but nevertheless wish to track usage to see what departments are enjoying a benefit from their services. Users who register using the Undergraduate Student Non-Research or Graduate Student Non-Research billing types are placed on projects whose usage is reported in a single line in the revenue breakdown tabs. To discover which departments benefit from this arrangement, UW CORAL queries the UW Registrar's office on a daily basis and adds the users of the "all undergrads" and "all grad students" projects to special department-related projects according to the student's major. The Billing>Statisics>Undergrads tab reports the revenue assigned to the "all undergrads" project broken down by department affiliation, for all departments that student was a major of during the specified time interval. Certain courses may also be tracked in this way if projects are configured to support them (see Users>Project).
